Delegate Management
Apricot Events has a reputation for its outstanding delegate management skills,
we ensure that your delegates' registration and attendance is
trouble-free, allowing them to focus solely on your event
message and overall objective
Registration
A relational
database, containing all delegate details allows for effective
communication, feedback, multiple contacts and tracking. As our
systems are designed in house we will provide you with unique
reports which are 'bespoke' (tailor-made) to your requirements.
This ensures the event planning progress is tracked
effectively, including necessary quality checks
undertaken. Advice and consideration
will be given regarding the reports enabling the adjustment of
action plans and timelines adjustments if required.We believe in offering delegates choice, therefore registrations from delegates can be taken on-line, by post, fax or telephone. Incomplete registrations are followed-up and completed registrations confirmed. Hotel rooms will be allocated as required and management of the hotel rooming list and any related issues will be handled. Special attention is given to detail to ensure special needs, including dietary requirements, are addressed as appropriate. Personalise

personalise and brand all of the email correspondence in either

Design & Production
Electronic or
hard-copy invitations will be issued to your target audience.
We can design and produce to offer a high-impact overview of
your event content, logistics and methods of response for
delegates.
Web Site
Your event will have
its own web portal, the style of which is designed to offer
simplicity whilst enhancing the overall package.
The web
site will provide your event with a specific look, style and
feel. The objectives of your event detailed, including
documentation availability for download such as programme,
workshop details, venue details and a host of other valuable
information.
Your event portal will supports the invitation
process and provides more detailed information on the event,
logistics information and an option to register on line.
Your web portal is
included complimentary within the event management package.
Help Desk
Delegates are able
to call us with queries for more information on the event or for
travel assistance.
On-site Delegate
Management
An Event Manager and
their supporting team would be on site during the event to
welcome and register delegates. They would issue badges, any
event material and local area information. The Event Manager
would also manage delegate flow, ensuring that groups are always
in the right place at the right time.
A fully equipped
computer system will be available on the day allowing for the
burning of CD's, last minute amendments and internet access if a
connection is available, and printing facilities. The
system provide the organiser and speakers an 'office away from
the office' facility to provide peace of mind. Your desk
will also allow the provision of providing badges to those
delegates who arrive who did not register or replacing those who
did.
Delegate Packs
Welcome packs may be
prepared and produced for each attendee, containing a welcome
letter, agenda, departure information, local area information
and useful contact numbers. Other documentation or items may be
included at your request.
Delegate Liaison
Our team will
provide all delegates an information desk and, where appropriate
direct, all delegates will be guided throughout the venue to
their destination - at all times delegates will feel rest assured
that any information at any point of time is readily available.
